Important Information

Get prepared for Essex Basecamp with information on dates, times and what to look forward to.

We’ve got some handy information put together to help you prepare for Essex Basecamp and get the most out of the event.

We’ll be adding to this page as more details become available, so make sure you check back for any updates.

Essex Basecamp is at the University of Essex Colchester Campus. This GOOGLE MAP LINK is for the recommended Valley Car Park  which is adjacent to the Ivor Crewe Lecture Theatre where the event is based.

If arriving by car, please use the Wivenhoe Entrance to the Campus and use the Valley Car Park.  Parking is free all day, providing this car park is used. There is plenty of disabled parking available in the Valley car park. Please park in sections 4 and 5 as these are closest to the Ivor Crewe building.

We have a downloadable MAP OF THE CAMPUS which we encourage you to keep available whilst you’re at the event. On the map, the Ivor Lecture Theatre is building ‘C’.

We encourage you to car-share with other local volunteers attending the event to improve sustainability and reduce travel costs/expenses.

There will be university staff and the Transformation Events Team on hand to guide you if you’re unsure where to go.

Registration for the event will open at the Ivor Crewe Lecture Theatre from 9am to 9:50am.

You will need to bring with you an electronic version of your ticket on your phone, or a print-out, ready for the QR code to be scanned on arrival.

Please have your ticket out and ready to show for registration. This will ensure we can quickly scan in all 350 of you for a prompt 10am start. Please start making your way to sit in the Lecture Theatre from 9:45am.

Once your tickets are scanned please collect your food passes and lanyards. This is being done in alphabetical order by surname. Once collected, you can head off to the food outlets to grab breakfast. Be sure to wear (and keep visible) your lanyard all day to avoid being challenged by security.

Staff from the university will be around to provide directions, as well as signage around campus.

At registration, you’ll be supplied details of how to sign-up to use the University’s free WiFi.

Mobile signal on-site is patchy, so we encourage use of this WiFi. It will enable you to participate in the various interactive parts of the day.

Don’t have a smartphone or tablet with you?  Don’t worry, you can buddy up with a friend and will still be able to access all the seminars and workshops throughout the day.

There’s no expectation for you to bring your uniform to the event, but we do ask that you wear your local scarf / necker.

Scout casual clothing e.g. t-shirts, hoodies etc is encouraged.

Ensure clothing is comfortable as you will be moving around the campus site during the day, including between buildings.

Essex Basecamp is the first of a series of transformation events for the County and we’re looking forward to an engaging, energising and empowering event.  Please follow this Code of Conduct before and during the event.

As a participant, I agree to follow this Code of Conduct:

  • As a member of the Scout Movement I will follow the Scout Promise and Law at all times during my participation in Essex Basecamp.
  • I will proactively work to create an inclusive and respectful environment that is safe for all, during the programme of Essex Basecamp.
  • I will work to make Essex Basecamp a safe space for exchanging ideas and debating different views to further the aims of Scouting.
  • I will treat everyone attending Essex Basecamp equally and will not directly or indirectly discriminate against, or harass, other participants. This is irrespective of their gender, age, race, ethnicity, religious beliefs, socio-economic background, disabilities, sexual orientation, gender expression or any other basis of discrimination.
  • I will respect and protect the rights of all event participants, regardless of age, role or experience, to express their views and opinions in the event proceedings.
  • I will follow any safety rules, signs and instructions given by the event planning team.
  • I will follow the event programme and participate respectfully in the seminar sessions, workshops and discussions.

Essex Basecamp is free of charge for registered attendees.

You’ll need to arrange and pay for your own travel on the day – we encourage you to have a conversation with line manager about Group, District or County expenses polices for travel costs.

We will be providing the following refreshments throughout the day:

  • Breakfast will be served in the Outlets. Tea and coffee available near the Ivor Crewe lecture theatre from 9am to 9:40am
  • Lunch at the University’s Outlets.
  • Mid-afternoon hot drink

Please note that food is not allowed inside the lecture theatre. Drinks with lids are okay.

Free water points are available across the University site for you to refill your own bottle.
All catering requirements will be shared with the venue before the event to ensure we can provide alternatives, where required.

All buildings have lifts and the campus is accessible for all.

As noted, please be aware you will need to make a short walk across campus to move between the lecture hall and the workshops.

We’re asking all our guests to bring their own reusable water bottle with them for this event.  There are water dispensers on each floor for you to refill your own bottle.

Please bring a smartphone or tablet with you to interact in some of the presentations and ask questions digitally throughout the day.

You may wish to bring a pen and notepad for the workshops and to make any notes.

And most important, a sense of fun, a smile and excitement!

During this large scale event, photos may be taken by an official photographer(s), and these may be used online or in printed literature by Essex Scouts. By attending this event, you consent to the possibility of being photographed and your image being used in this manner. We’ll not seek to identify specific individuals by name in photographs, unless explicit consent for this is obtained from you first.

If a specific image of you is used online by Essex Scouts, and you wish us to withdraw consent for us to use that image, then please get in touch with us via

Both smoking and vaping are strictly prohibited indoors. Smoking/vaping is allowed anywhere outside buildings. There are not specific dedicated areas.
